Membership Roster Reporting

In an effort to serve you better and to make the reporting process as easy as possible, we are now providing an Excel template which you can use to submit your membership roster. Submitting your membership roster in this format will help us to serve you and your members better by allowing us to:

  • Import membership data quickly and efficiently
  • Provide you with a copy of your roster after it has been imported to verify accuracy
  • Ensure that we have contact information for each member so that they receive their full membership benefits

How to Submit a Membership Roster
 

 

 

The following is a list of information that should be included on the roster for each member reported:

 

 

  • Company Name
  • Main Contact First Name
  • Main Contact Middle Name
  • Main Contact Last Name
  • Main Contact Suffix
  • NAAEI Designation
  • Address Line 1
  • Address Line 2
  • City
  • State
  • Zip Code
  • Country
  • Work Phone Number (including area code)
  • Fax Number (including area code)
  • E-mail Address
  • Website
  • ID number used at the local affiliate
  • NAA ID number
  • NAA Member Type (must be Associate, Management Company, Property, Owner, or Community)
  • Managed By (List the name of the Management Company, only when the type is Community.)
  • Number of Units (this is not applicable to Associate members)

Electronic File
To import your roster more quickly and efficiently, it is preferred that you submit your roster electronically. Affiliates can now submit their electronic rosters by uploading them online. Preferred formats include Excel, Access or any compatible comma delimited file.

Editing the NAA Roster Printout
Upon request, NAA will provide a printable version of the roster. For your convenience, it can be sent to you via e-mail in Acrobat PDF format. It is available in a variety of formats and sorting options. Access the Roster Request Form here.  We ask that you write legibly on the roster any new members, dropped members, or updated information. Please mail the updated roster. Faxes cannot be accepted because they are difficult to read. Requests for rosters should be sent to membership@naahq.org.

Membership Reporting Policy

Apartment associations submitting a local or state charter application after November 2004 must report ALL units without regard to local caps, minimums or other limits and submit the dues rate for each unit owned or managed.

  • All rental housing units owned or managed by an owner, developer or property manager (Industry Members), that are members of an Affiliate, will be reported to the National Apartment Association and dues will be paid on all such units without regard to local affiliate dues caps.
  • All communities owned or managed by Industry Members that employ on-site administrative staff will be reported to the National Apartment Association. Affiliates will report the name of the property, address, phone, fax and email information to the extent known. This information will be utilized in order to provide a copy of units Magazine and other NAA information to each of these locations.
  • The owner, property management company, key personnel, and regional manager for rental housing units for which dues have been paid to NAA will all be members of the NAA with regard to services provided to such units. Affiliates should report the name, address, phone, fax and email information to the extent known. This information will be utilized in order to provide a copy of units Magazine and other NAA information to each of these individuals.
  • All Associate Members (suppliers), who are members of a State or Local Affiliate, will be reported to the National Apartment Association.

NAA Membership Categories

Please identify the company records as one of the following categories:

Associate Members - Members who provide products and services to the multifamily industry. These members are also known as supplier or vendor members.

Industry Members - Members who are either management companies, properties, owners or communities.

    • Management Company - Members who manage and/or own properties. The total number of units within the affiliate's territory is reported to NAA, as well as the number of properties managed and/or owned.
    • Owner - Members who have ownership in a residential rental unit(s) such as a condo, duplex, etc. The total number of units owned is reported to NAA. These members are typically referred to as “independent rental owners” or IROs.
    • Property/Community - A property that joins the local association directly (not through the management company), as well as those communities which are managed by member management companies and maintain an on-site staff. All units should be reported to NAA.
